WeChat for B2B: How Foreign Brands Get Distributor Inquiries from China

WeChat has 1.3 billion monthly active users. Most foreign brands think of it as a consumer channel. Chinese distributors and importers use it as their primary business tool. Every deal in China moves through WeChat. If your brand is not there, you are not in the conversation.

How Chinese Distributors Actually Use WeChat

  • Distributor groups on WeChat share new brand discoveries daily – peer-to-peer, not advertising
  • A buyer at a Chinese importer will search your brand name on WeChat before answering your email
  • WeChat Official Accounts serve as a brand’s China homepage – more trusted than a website
  • Mini Programs allow brands to run a full e-commerce experience inside WeChat without a separate app
  • B2B conversations happen in WeChat groups: introductions, samples, pricing, term sheets – all there

What Brands Are Doing on WeChat to Attract Distributors

A Danish dairy brand opened a WeChat Official Account in Mandarin 6 months before their China market entry. They posted product origin stories, factory videos, and ingredient sourcing content. When they arrived at a Shanghai trade show, three distributors already knew the brand – they had been following the account. Zero cold introductions needed at the booth.

A UK health brand used WeChat Mini Program as their first China sales channel. No Tmall setup cost, no TP agency, no deposit. They drove traffic from Xiaohongshu to the Mini Program. Revenue in month one: modest. Month six: $45,000 USD. Distributors noticed the traction and approached them.

A French cosmetics brand hired a China-based brand manager whose only job was WeChat – creating content, managing conversations with potential partners, and monitoring competitor activity. That one hire generated four qualified distributor leads in the first quarter.

What to Build on WeChat Before You Pitch Distributors

  • Register a WeChat Official Account (Service Account for brands – not Subscription Account)
  • Post in Mandarin: product story, brand origin, key ingredients or USPs, packaging explanation
  • Include a contact form or customer service chat – distributors will use it
  • Share content in relevant WeChat industry groups through a local contact or agency
  • Link your Xiaohongshu account from WeChat – it creates a closed discovery loop

The Distributor’s View: The Two-Hour Rule on WeChat

A Chengdu importer of baby care products added the export manager of a Danish brand on WeChat after a trade fair. On a Thursday evening, Chinese time, she sent a voice message: could she get the price list and the registration status of two products? The manager was asleep in Copenhagen. He answered by email on Friday afternoon with a 22-page PDF. By then the importer had already received prices from two competing brands, in the chat, as images she could forward to her boss.

Speed on WeChat is read as interest. A slow reply is read as a brand that will also be slow on stock, on documents, and on problems. When this brand came to us, we set up a simple routine. A one-page price sheet as an image, in RMB, with MOQ and lead time. A short product card per SKU with registration status. A team member in China who answers within two hours, even if only to say “checking with the factory, back tomorrow”.

  • Send images, not attachments. Buyers forward them in seconds.
  • Quote in RMB, landed, so the buyer can calculate his margin at once.
  • Never leave a voice message unanswered overnight.

Inquiries from WeChat rose, but the real change was the conversion: four signed accounts in the first year, against zero the year before. If you want the next step, read how brands use WeChat Mini Programs as their own channel.

“In China the deal is often decided in the chat window at 10 pm. If nobody from your side is in that window, someone else is.”
